iFAMS - Integrated Facilities & Asset Management System - is a highly modular management system that allows you to "build" just the right system for your needs based on a set of modules and options. Since you don't have to pay a premium for features that you will never use, your acquisition cost goes down, and you get a solution that is perfectly assembled for your particular industry. Once you have implemented the system, you can come back and add modules at any time - they are all fully integrated and interoperable.
When managing a facility, it is important for non-maintenance personnel and tenants to be able to easily submit requests for work to be done and get the status of work in progress. It is also important that it be easy to contact maintenance personnel with details of new work that needs to be done, and that the location of movable assets is known at all times. The chart below shows how a typical Facility Management solution can be put together using iFAMS. Each module is described in detail below.
Asset Management / Inventory & Purchasing These modules are the core of iFAMS. Asset Management includes not only assets, but also the management of space, equipment
User Customization The User Customization System (UCS) makes iFAMS the most flexible Facilities & Asset Management solution on the market, allowing for customized data entry screens, reports, forms, data import/export interfaces and much more. Read more about UCS here.
Imaging Allows for attaching and printing images and documents such as scanned drawings, CAD drawings, MS Word documents, etc. to Work Orders, Equipments, Parts, Purchase Orders, etc. Asset Tracking Tracks the current location of movable assets, who moved them and when they were moved. Keeps a record of previous locations.
Pager Alert Notifies supervisors and/or maintenance personnel via text messages to pagers or cell phones when a job requires their attention. This can be set up to happen automatically as Work Orders are created, or on demand as necessary.
Service Request Provides an interface for service requests which must be approved before becoming new Work Orders. For example, let a help desk attendant enter all call-in and walk-in requests as service requests. Then have a manager review them later and, if approved, make them into work orders at the touch of a button.
Web / Email Request Web Request allows any authorized person to submit and get status on Service Requests via any web browser. Can also be set up to submit Work Orders, Parts Requests and Purchase Orders. If you don't want to set up a web site to handle Web Requests, the Email Request option allows anyone to send email to a designated mailbox. iFAMS will then convert the emails into Service Requests which can be reviewed by a manager.
iFAMS Mobile / Barcoding In a Facility, work is often unplanned, but you still need to keep track of the work that is done. With iFAMS Mobile, each employee carries a PocketPC or Palm PDA with them. They can create Work Orders on-the-fly, issue parts, check out tools, track assets, perform meter readings, and much more. At the end of their shift, they simply synchronize the PDA with iFAMS to update the database. With the wireless version, they can update the database in real time, as well as look up information live from the iFAMS database. With barcoding, you can create barcode labels for Asset and Equipment numbers, Part numbers, Room numbers, etc. which you can then scan to make data entry quick and precise.
